Cancellation Policy & Code of Conduct

This event takes place Tuesday, December 9 – Thursday, December 11, 2025. We are committed to making this a great conference for our Dynamics User Group community.

What if You Cannot Attend Convergence?

Due to the event occurring so soon, refunds are not available if you can no longer attend. Email info@dynamicsusergroup.com to request credit for a future DUG-hosted in-person event.

What if Dynamics User Group Cancels?

If we cancel, it will be because the venue can no longer host our event. In this case, we will postpone and work to reschedule. Attendees can either request a refund for their ticket or apply it to the rescheduled Convergence event.

Code of Conduct

Dynamics User Group, hosts of Convergence, wants to provide a safe and enjoyable event experience for all attendees, sponsors, partners, and staff (collectively, “Participants”). DUG has established this Code of Conduct to set clear expectations and ensure that all Participants understand what behavior is expected—and what behavior will not be tolerated.

DUG is dedicated to providing a harassment-free and inclusive experience for everyone regardless of gender identity and expression, sexual orientation, disabilities, neurodiversity, physical appearance, body size, ethnicity, nationality, race, age, religion, or other protected category. Participants asked to stop any harassing behavior are expected to comply immediately.

Expected Behavior

  • Be considerate and respectful to all community members.
  • Refrain from demeaning, discriminatory, or harassing behavior, materials, and speech.
  • Speak up if you observe anything at a Convergence event that conflicts with this Code of Conduct.
  • Committee members, speakers, and volunteers are an extension of DUG and must act in alignment with these values.

Unacceptable Behavior

Unacceptable behavior will not be tolerated. Examples include:

  • Intimidating, abusive, discriminatory, or derogatory speech or conduct.
  • Violence or threats of violence.
  • Sexist, racist, homophobic, transphobic, or otherwise discriminatory jokes, language, or materials.
  • Personal insults related to gender, sexual orientation, race, religion, or disability.
  • Inappropriate photography or recording.
  • Boisterous, lewd, or offensive behavior or language, including profanity or slurs.
  • Failure to follow venue rules and regulations.

Consequences

Anyone asked to stop unacceptable behavior is expected to comply immediately. If a Participant engages in unacceptable behavior, DUG may take any action deemed appropriate, including warning or immediate expulsion from the event with no refund. In more serious cases, DUG may impose temporary or permanent bans from future events and activities.

Reporting

If you are subjected to or witness unacceptable behavior, please notify DUG staff immediately. All reports will remain confidential.

Informed Consent, Waiver of Liability, and Release from Risk

By participating in Convergence, you acknowledge the risks inherent in large events, including illness, injury, and external factors outside of DUG’s control. Your participation is voluntary, and you assume all such risks. You agree to release Dynamics User Group, its affiliates, partners, and representatives from any liability related to your participation, including but not limited to conditions beyond our control (e.g., acts of God, weather, strikes, civil disturbances, or changes in schedule).

Quotation, Directory Information, and Photo Release

By attending Convergence, you grant Dynamics User Group permission to publish quotations from your feedback, and to use, reproduce, and distribute photographs or recordings of you taken during the event for promotional purposes, without compensation.
